FREE Venue finding is just one of the many services we offer here at White Rhino to help save you time and hassle when planning an event.  We thought we would take a few minutes to explain exactly how this service works and how we are able to offer it completely free of charge to our clients.


If you are planning an event, whether its a meeting, conference, away day, training session or board meeting, the first thing you need is a venue.  There are lots of things to consider when choosing a venue such as location, availability, on site facilities, size, number of bedrooms, meeting room layout, and cost to name just a few.  Add to this the fact that each event has a very different set of requirements and the huge choice of potential venues on offer and it’s easy to see how finding the right venue for your event can become a time consuming and frustrating task.  This is where we come in…

How does FREE venue finding work?

As part of our free venue finding service, we will do all of the legwork for you.  The first step is for us to have a discussion about your event so that we understand exactly what you are looking for when it comes to the venue.  We will ask about the different facilities you will need, how long the event will last, and who is attending the event (as well as a few other questions).  Once we have a clear picture of what you are looking for, we will be able to start searching for your ideal venue.

We work with venues all over the UK and internationally and are not tied to any specific brand or chain.  This allows us to suggest or recommend the venues that we think would work best for you and your event.  We will speak to each of the venues about your event to ensure they can accommodate all of your requirements, check availability for your chosen dates, and negotiate rates on your behalf.  Once we have some venue options for you, we will send them across for your consideration and feedback.  If you would like to visit any of the venues we suggest (which we would always recommend if possible) we are also happy to arrange this for you.  Site visits are a great idea and as well as allowing you to see the venue first hand, also give you the opportunity to understand exactly how your event would flow through the different  rooms and areas you may be using.

Once we have found the ideal venue and you are happy to proceed, we will ask the venue to draw up a contract to secure the booking.  Once this is done and your event is confirmed, the venue will be able to work with you in the run up to your event to ensure everything is in place and ready to go.

How is this service free?

As the well known saying goes “there is no such thing as a free lunch” and so you wont be surprised to learn that venue finding is no exception.  When it come to venue finding, White Rhino work on a commission basis which means that when a client books a venue we have suggested or recommended, the venue pay us a commission which in turn covers the time and effort we have invested researching and proposing different options.

Do you have to book a venue we have suggested?

Absolutely not.  If we don’t find a venue that you think will work for your event there is no obligation to book any of the venues we have suggested.
