What does event management entail?
Event management is the process of planning and managing an event (or elements of an event in some cases) from concept through to successful delivery. That’s what it means to us anyway…
How do White Rhino work?
We are huge fans of keeping things simple when it comes to working with our clients. That’s not to say we don’t work on complex events, just that the way we do it is easy to understand and completely transparent.
The first step in the process is for us to sit down with any potential clients (preferably with a cup of coffee and a few biscuits) and have a good chat about your event. It is vital that we have a good understanding of what your event is all about, what you want to achieve and what you would like White Rhino to help with!
Once this stage is completed we can start to create a plan of action and provide you with an outline of costs etc. If you decide that you would like to work with us, we will get the ball rolling and start to work with you on planning your event!
I don’t want to lose control of the event?
You’re the Boss! Think of us as an extension to your existing team.
We will let you know of all the major developments so that you know exactly where we are up to and what is going on. In addition we will also schedule regular update meetings/calls to keep you up to date!

Will you work with our preferred suppliers?
In short; Yes! As I’m sure you can appreciate, we do have certain standards which need to be met when it comes to the suppliers we use. Providing that your preferred suppliers meet these standards, we would have no problem working with them at all.
Do you just cover the Surrey area or do you manage events further afield?
We work throughout the UK and can also manage events throughout Europe if required. Just let us know where we are needed…
How much will my event cost?
Each event is completely different and so it is impossible to say how much a specific event will cost without knowing exactly what is required. Once we have a better understanding of your event we would be happy to create a proposal which would detail all of the associated costs.
How much do you charge?
Once we know exactly what your event entails, we will be able to calculate how much time will be needed to plan and manage it on your behalf. Once we know this, it is simply combined with our standard daily rate to provide a total management cost.
Some companies calculate their fee based on a percentage of your budget or spend. We believe that this pricing structure is not as transparent and also assumes that a less expensive event, takes less time to plan/manage, which isn’t always the case. This structure also means that the more you spend, the more the management company will make, which we believe is a conflict of interests.
I don’t need my event to be fully managed but would like a little support. Are you able to help?
Yes absolutely! We are happy to help you plan or manage certain elements of your event as opposed to the entire thing. Alternatively, we can act in a consulting role offering support and advice as and when required.

How do you manage invoices; do we pay you or the suppliers?
We will invoice you for the full event cost and then pay all of the suppliers accordingly. We find that this is the easiest way to operate as it means that you only have to settle a single invoice.
